What is Employee Onboarding Checklist?

The onboarding program develops new hires to obtain the necessary skills and knowledge to become effective employees in their new organization. The onboarding program includes a lot of activities such as getting to know and familiarize their roles and the team they will be working with and understanding the expectations of the job.

An onboarding checklist helps employers and Human Resources (HR) to organize the steps of prepping a new employee that is starting in their organization. It ensures that all necessary preparation steps are taken when they are guiding new employees through their first days in the organization.

How to Make An Employee Onboarding Checklist

1. Prepare the Necessary Items for Onboarding

Here are the following tasks you need to include in your checklist before your new employee arrives for their first day in the organization:

  • Gather all documents and forms that the new employees have to fill out on their first day.
  • Provide information about the job description, benefits package, and employee handbook for them to review. Print out their own copies for these important forms.
  • Request all devices and equipment to be prepared in advance before the new employees’ first day. Make sure they have a clean desk, chair, and the items they need at their workstation. If you can, provide a welcome kit for their workspace.
  • Contact your IT team, facilities team, and accounting department to make sure the employee is set up in all relevant systems and has all of the required access to enter the building and access the company network, and has the necessary software installed in their computer that will aid them in their work.

2. Schedule an Orientation to Your New Employee

On the first day of the new employees, they don’t have to start their work right away. Help them adjust to settle down in your company by doing the following:

  • Set aside time to orient the new employees on their first day. This will give them the chance to learn about the company culture, review the organizational chart and learn how the departments in the company function.
  • Give a tour of the workplace and introduce them to key personnel in each department. Explain any security protocols you have in your company building.
  • Introduce your new employees to a colleague in the department they will be working with who can act as a mentor during their first few weeks on the job. The mentor must be available for questions, and train them on certain aspects of the responsibilities the new employees will do.
  • Welcome the new employees to the whole team by sharing the news of their arrival during a company meeting. This should encourage other team members to say hello and extend a personal welcome to the new employees.

3. Set Up A check-in Plan

To assess how your new employees are doing in their job, schedule some time to touch base with the new employees regularly, including after their first month, and first quarter. These touch bases should provide the employees the opportunity to share feedback about their work and discuss how well they’re adapting to their tasks.

Having an established onboarding process can help lead to better job performance, efficiency, and higher employee satisfaction. Once you’ve established an onboarding checklist, use this as your official protocol whenever new hires will start their first day in the organization. If you want to take it a step further, have the new hires give you a short evaluation of how they view your onboarding process. That way, you can tweak any processes that are not working or redundant.
