How to Write a Condolence Note

Upon knowing of the death of an acquaintance, a friend, or even a family member in a death obituary or in any other way, you are compelled right away to reach the family of the deceased. Here are some of the pointers that you can use to get you started. You may follow some or all of these pointers according to how you want your note to turn out. 

  • Recognize what they are feeling right now but don’t overdo it because it might trigger strong emotions. You can mention the name of the deceased if you are well-acquainted with them as a person when they are still alive. 
  • Next, express your condolences and it should be written using the most appropriate words of encouragement. This part can be tricky as it needs just the right amount of emotions put into words. To accompany your condolence note, you can also send them a letter of encouragement in a separate paper. 
  • Most especially, make your condolence as natural as it will sound so that the sincerity of your message can really be felt by the one who is reading it. Be personal and maybe mention your best memories that you had with the deceased so that the bereaved family can tell that their loved one once touched someone with their good traits as a person. 
  • Never forget to assure them of your support and be clear about what kind of support you want to give them. Be it financial, emotional, or other ways you could think that might help the family alleviate their situation with the loss of their loved one. You can also extend your help in organizing the funeral program so you can somehow remove some of their burdens off their shoulders. 
  • Put a heartfelt ending to your note with wishes for a hopeful future for the bereaved family of the deceased. 

Avoid saying these… 

  • Never use phrases like, “They are in a better place”, or “It was God’s plan” because they are most of the time offensive to read. Even if you have the sincerest intentions, what you mean can turn out to have a different meaning.
  • It is best to avoid putting anything about their religion and religious overtones. Unless you know so much about their religion and you’re sure that they will not get offended by anything you will say about their religion, it’s best not to include it in the note. Better yet, you can offer a helping hand in arranging a church program for the mass of the deceased before sending them goodbye. 
  • Avoid retelling the details leading to the death of the deceased because it might remind them once again of those moments that they can hardly handle their emotions and keep their sanity.
