Accomplishing a successful event is every event coordinator’s dream. After months of tedious hard work, seeing everyone enjoying is indeed worthwhile. But it is important for coordinators and planners of events to know not only the positive side of the event but as well as the negative. To help them do better in the future, suggestions, criticisms, and feedback are some critical information they need. In order to achieve that, an event survey form is distributed to attendees so they can fill this up. This is usually given after the event so the attendees can give full detail of their experience during the event. To learn more about this, let us discuss this further below. And if you need to start working on those surveys, check out our free event survey samples that are available for download on this page.

What Is an Event Survey?
People have different views after they attend an event, some may find it interesting, informative and unforgettable but others may be displeased and wish something was done better. Although some attendees would express their thoughts verbally, others prefer jotting them down anonymously like through an event survey. An event survey is a questionnaire that contains questions that are related to the event, these could be specific or general in nature. This can be in a form of multiple-choice or open-ended type of questions.
Depending on what type of event and of the organizer, some would provide the surveys before the attendees would enter the venue, or after the event. Surveys can be given manually or in digital form. To encourage active participation, some would hand out giveaways or freebies if a survey is successfully answered and submitted.
How To Create an Event Survey
There are so many types of events and not everything needs feedback. In most cases, you would find surveys or questionnaires handed out during trade shows, meetings, seminars and conferences. It would be rather odd if surveys were given at a wedding, a birthday party or concerts since events like this have a more personal feel to it. Whereas for meetings and such, most of the participants are there for a reason to learn something or for business opportunities. Overall the nature of the event matters when handing out surveys, but its never really a farfetched idea if you still need the guests to answer your survey on personal and private events.
When creating an event survey, you will need to come up with the right questions that can will help the events team gather different perspective from the event’s attendees. You need something that can give your team new ideas that can improve your services. To start, here are several tips to help you create survey questionnaires.
1. Types of Questions
First you may want to determine what type of questions you need to create in the survey. Usually there are 2 or 3 kinds, which you can combine.
- Yes or No Questions is binary which means those answering the survey can only reply with yes or no. Its quick to do and less time consuming.
- Net Promoter Score Questions is where participants is asked to rate the question or statement found in the survey. Usually this is from a scale of 1-10.
- Open-Ended Questions these are the types of questions were the participants are require to answer in their own words. Here, an event organizer has more detailed information and is ideal if you need personal feedback and suggestions.
2. Determing What Questions to Ask
To determine what kind of questions you should be asking the attendees, you need to make sure that the questions are relevant to the event. You can include generic questions mixed with specific ones which is related to the event. For example, an Asian food expo. You can add a question like, which is your favorite booth and why? Or what are your favorite Asian cuisines?
3. Be Clear and Concise
Make sure the questions are clear, concise and easy to understand. Remember this is a survey where you need to gather personal feedback, not an exam. You don’t need to ask thought-provoking questions, but something relevant and direct to the point.
4. Incentives and Freebies
Sometimes organizers want to make sure that each participant answers their survey, that being said freebies and incentives are given to those who complete the survey. A number of these are given after the event, where the surveys are submitted before the attendees’ exit the venue. For online surveys, there too can be incentives like discounts on particular items or establishments.
5. Participant’s Details
It is optional to ask for the participants name in the survey, perhaps the date would suffice and the name of the event.
