Why Send an Invitation Thank-You Letter?

An invitation thank-you letter will typically be used whenever you have been invited to a big event. This is especially important for businesses where an existing client or a potential client has invited you. This will be a great means of establishing a connection and for networking purposes. Always remember that in the business world, saying “Thank you” or showing gratitude is of high importance. You may also see Examples of Invitation Letters.

Basically, the reason why you should consider sending an invitation thank-you letter is the fact that it is considered to be common courtesy to do so. You can send the letter after receiving the invitation letter, as an attachment when you RSVP, or after the party. However, you should also take note that it is not mandatory. It will always be completely up to you if you want to do so.

Writing an Invitation Thank-You Letter

Showing good etiquette is part of showing that you have good manners. Whether you are just about to accept the invitation or you already went to the event, you want to make sure that you come up with a formal thank-you letter should you opt to send one. This can either be handwritten, printed on a stationary, or emailed to the person that invited you. If there was an RSVP card provided with the formal invitation letter, you can also write your thank-you letter in the RSVP card.

As with any type of letter-writing, you want to make sure that your formal thank-you letter has been reviewed and is free from any grammatical errors and misspellings, plus you also want to make sure that you make use of the correct punctuation marks. You also want to make sure that you keep your letter short and sweet. A couple of succinct lines will already be great for your thank-you letter.

If you are in dire need of tips and guidelines on how you can come up with your own thank-you letter. You do not need to worry as the tips and guidelines we have are easy to follow. If you are ready to know what these tips and guidelines are, continue reading this section of our article. You may also see Sample Business Invitation Letters.

1. Follow a Formal Letter Format

You can definitely follow any letter format for your invitation thank-you letter. However, keeping it in the formal business letter format will be your safest choice for the format. Make use of the block style format. This means that you align all of the contents to the left side of the page. You also need to make sure that you keep the body of the letter single-spaced and double-spaced in between paragraphs.

Make sure that you also make use of your own professional letterhead. Do not forget to indicate the date below your letterhead. Next, the recipient’s details should follow the date. Do not forget to include their job title if applicable.

2. Make Use of an Appropriate Start

If you are friendly with the person who invited you, you can definitely make use of “Dear” as a start followed by his/her first name. However, using “Dear” is not the appropriate word to use if you do not have a close relationship with the person who invited you. Reply to the invitation letter in a proper manner by directly stating his/her name such as “Dr. Smith” or “Mr. Smith.” You want to make sure that you also include titles if they have any. However, you can also directly use the first name of the host if you are closely acquainted with him/her. For example, if the name of the host is Jane, you can directly address her as “Jane” followed by a comma.

3. Do Not Forget to Acknowledge the Invitation

This is of high importance if you are writing the professional thank-you letter as a means of accepting the invitation. Make sure that you express gratitude that you have been invited to the event. Recap the details of the event by mentioning the occasion, the date, and the venue.

For example:

  • I received the email invitation for John’s 1st birthday this coming Thursday at NNN Restaurant. My wife and I would like to thank you for inviting us.

Do not forget to let them know if you will be able to go to the event or otherwise.

For example:

  • My wife has already planned the perfect gift for John. We would be delighted to join you on this wonderful milestone in John’s life.

4. Look Forward to the Event or Future Events

Let the recipient know that you are looking forward to attending the event or that you are looking forward to attending future events that they may have. You may also see Thank You Letter Samples.

For example:

  • I am excited to see you and your family. I am sure we’ll have a great time catching up.
  • It was great seeing you and your family after a long time. Looking forward to any party you will have in the future. John’s 2nd birthday, maybe?

5. End the Letter with a Closing Address

Close your letter properly. Short yet formal and meaningful closing greetings will do. Good closings you can use can be the following:

  • Sincerely,
  • Always,
  • Truly yours,
  • Best wishes,

These short closings can be a great means of expressing the intent of your gratitude. Make sure that the opening and closing of your professional letter will be complementary to each other. If you started out with a friendly tone, end on a friendly tone. If you started with a formal tone, end in a formal manner as well.

6. Affix Your Signature

After the closing, make sure that you affix your signature. Below your signature should be your typed name. If you are writing a formal thank-you letter, include your full name. If you are writing to a friend or a family member, your first name will do. End your formal letter in a way that the recipient or the host will recognize you.

Things to Remember

  • If you are sending an email thank-you letter, make sure to follow the same format of common thank-you letters. You should also make sure that it is acceptable for you to send an email. If the invitation has been sent via email, you can definitely send a reply via email. If the invitation was sent through other means, you should consider finding other ways on how you can send your thank-you letter.
  • If the host left a phone number, this means that he/she is open for communication via phone. You can confirm your attendance via phone but the thank-you invitation letter can serve as a paper trail of your confirmation.
  • Avoid asking for a plus one unless stated in the sample invitation letter or card. Should the sample card or letter not state that you can bring a plus one, avoid asking the question as this can be seen as rude. Remember to respect the host’s decision to omit this privilege.

Now that you have a good idea about what you can write in your invitation thank-you letter and all else that needs to be considered, you can now get started on your own thank-you letter.
