What Is Work Reference Letter?
A work reference letter, or otherwise known as an employment reference letter, is a letter that contains a recommendation of a particular job applicant for a job position he/she is planning to apply for. It is usually submitted to the recruiter together with the job applicant’s resume and cover letter.
Parts of a Work Reference Letter
Depending on the letter-writer, a reference letter can have many parts. The following, however, are the most essential parts of a work reference letter:
- the block for the letter-writer’s information (this is the first part of the heading that contains the name and complete address of the person writing the letter);
- the block for the recipient’s information (this is the second part of the heading that contains the name and complete address of the recruiter);
- the formal greeting (Dear Ms/Mrs/Mr.);
- introduction line;
- statement of the positive qualities of the job applicant;
- statement of the specific instances when the applicant has portrayed such qualities (this is important in order to establish credibility);
- statement that you can be contacted via a certain number or e-mail should the recruiter have more questions regarding the applicant’s qualifications and characteristics; and
- formal closing.

There are various individuals who can write this letter. The usual people who are asked to write a work reference letter are the following:
- a former colleague,
- a former manager,
- a former employer,
- a former team leader,
- a former professor, and
- a former organization head.
If you are any of the abovementioned, make sure that upon highlighting the positive attributes of the job applicant, you have already made a research regarding the job description of the job position he/she is applying for. It is important that your reference letter mentions only those qualities that are relevant to the job that he/she is applying for.
