Forms in the Workplace
There is a reason offices have reams of bond paper and boxes of pens stocked: because there are tons of paperwork to be printed, filled out, and filed. Aside from Transcript Request Forms (which you’d have to have filled before applying for a job) and Vacation Request Forms, here are some kinds of forms you may encounter in the office. It is best that you familiarize yourself with and know how to fill them out and what information these may require.
-
Job Orders are written instructions with the specifics of how a job must be performed. These could range from orders for the maintenance department to fix the bathroom to a memo from the CEO.
-
Temporary Job Orders are similar to job orders but have a specified timeframe. An example for this would be how a retail company may hire a temporary worker during their busiest seasons.
-
Job Transfers are, according to human resource expert Edwin Yoder, a “horizontal or lateral movement of an employee from one job, section, department, shift, plant, or position to another where his salary, status, and responsibilities may be the same.” Job transfers are done for many reasons including to avoid monotony, promote widening of employee skills, and to avoid favoritism from supervisors. An employee may also request for a job transfer for medical purposes or conflicts in schedule.
-
Job Evalution Request Forms can only be filed by an incumbent or the HR department. There are two reasons to fill these out:
1. an existing position needs to be reevaluated for hiring purposes; and
2. a new position evolved from an existing position so the details of its duties, responsibilities, and compensation and benefits would be helpful in creating the job description and job design of the new position.
-
Job Data Correction Request Forms are filed when an erroneous information has been provided or there has been a change in information such as civil status or name.
-
Job Requests are forms submitted by department heads to the HR department when they are requesting for recruitment of open positions.
